MAC Surfacing Limited is responsible for the personal information described in this notice. We are registered in England and Wales under company number 05021380. Our address is 4 Malthouse Road, Tipton, West Midlands, DY4 9AE.

What this notice covers

This notice explains how we use personal information when you visit macsurfacing.com, send an enquiry or contact us using a telephone number shown on the website.

Information we collect

  • Enquiry details: your name, company, email address, telephone number, service interest, message and the page used to contact us.
  • Website analytics and call attribution: if you accept optional analytics cookies, we may receive information about pages viewed and interactions. Separately, call attribution may record the source of a visit and, if you call a tracked number, the caller number, call time and call outcome.
  • Technical and security data: internet protocol address, browser and device information, request details and spam check results. This is processed when our hosting and security services deliver and protect the site.
  • Business records: correspondence, quotations, orders and other information created if an enquiry develops into work.

How and why we use it

  • To respond to an enquiry and take steps you ask us to take before entering a contract.
  • To prepare quotations, deliver services and manage our business relationship.
  • To protect the website, prevent spam and investigate faults or misuse.
  • To understand how the website is used where you have accepted optional analytics cookies, and to identify which activity leads to calls and enquiries.
  • To meet legal, accounting, insurance and regulatory requirements.

Our lawful bases are taking steps before or performing a contract, complying with legal obligations and our legitimate interests in responding to customers, measuring enquiry sources, operating a secure website and running our business. We rely on consent for optional analytics storage. You can withdraw analytics consent at any time through Cookie preferences in the website footer.

We do not sell personal information. We do not use a website enquiry for unrelated marketing unless we have a lawful reason and have given you the required choice.

Who we share information with

We use carefully selected suppliers to operate the website and handle enquiries:

  • Vercel: website hosting, delivery and operational logs.
  • Cloudflare Turnstile: contact form security and spam prevention.
  • GoHighLevel: customer relationship management, enquiry routing and follow-up workflow.
  • Google Analytics and Google Tag Manager: optional website measurement, loaded only after you accept optional cookies.
  • WhatConverts: website and call attribution used to identify which visits result in enquiries.

We may also share information with professional advisers, insurers, IT support or public authorities where this is necessary and lawful. Our suppliers act under contracts and may use approved subprocessors.

International processing

Some suppliers or their subprocessors may process information outside the United Kingdom. Where this happens, we require an appropriate legal safeguard, such as UK adequacy regulations or approved contractual protections.

How long we keep information

  • Enquiries that do not become customer work: up to 24 months after the last meaningful contact.
  • Customer, contract, accounting and related business records: normally 6 years after the relationship or transaction ends, unless a longer period is legally required.
  • Optional call attribution records: up to 24 months, unless the information forms part of an enquiry or customer record kept under the periods above.
  • Website security and operational logs: for the supplier's short operational period, then deleted or aggregated, unless they are needed to investigate an incident.

We may keep information for longer where a legal claim, regulatory requirement or active dispute requires it. We delete or anonymise information when it is no longer needed.

Your rights

Depending on the circumstances, you may have the right to ask for access to your personal information, correction, deletion, restriction, transfer or to object to how it is used. Where we rely on consent, you may withdraw it at any time. Withdrawing consent does not affect processing already carried out lawfully.

To exercise a right or ask a question, email info@macsurfacing.com or write to MAC Surfacing Limited, 4 Malthouse Road, Tipton, West Midlands, DY4 9AE. We may need to confirm your identity before acting on a request.

You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint.
